ViKING returns & corrections

ViKING (previously also known as 52RETAIL) gives you the following features for handling returns and corrections:

Returns

ViKING handles two methods for return transactions:

  • Pure return sales where all articles that are registered are considered returned articles.
  • Exchanges, where the operator typically activates the RETURN key before handling the articles that are to be returned, and the remaining article registrations are sales.

In both cases, the operator can enter the price of the returned product.

Corrections

With ViKING, you can make the following types of corrections while you’re creating a till receipt:

  • Delete most recent article

To delete the last product line on the receipt, use DELETE. Any discounts that have been triggered by the sale of the article in question will also be deleted. All deleted lines are saved in the audit log.

The permissions for this are the same as the permissions to carry out sales.

  • Return a previously registered line on the receipt

You can return any article that you’ve sold on the receipt. You can also return part of a receipt line, for example if you’ve sold five of the same articles, you can return just one of them, but you can’t cancel more than you’ve sold (or that remains) on the receipt.

You can control access to this ability by user group and till.

  • Cancel the entire current journal

To cancel the entire journal while you’re working on it, use CANCEL. You can configure whether all the original journal lines should be deleted or saved in the audit log.

You can control access to this ability by user group and till.

Restrict ability to do returns and corrections

You can restrict who’s able to make returns, corrections, and deletions, either by enabling key protection of returns or by blocking the ability to make returns.

You can apply such restrictions on individual operators, groups of operators, or tills, so that, for example, your service/information terminals may do returns, while your checkout terminals may not.

You can set limits on:

  • The largest amount that may be returned or deleted
  • How much must remain on the till receipt after a return or deletion
  • How many times a till’s RETURN, DELETE, or CANCEL keys can be used before it’ll require key authorization from a supervisor to use them again (to prevent possible fraud, a random generator will determine the number of times that the keys can be used)

All returns and deletions are registered at line level in the audit log, and the amount and value of the returns and deletions are summed up for individual operators.

You can set up the following blocks for correction options:

  • Minimum amount that must remain after deletion or cancellation. This parameter prevents deletion of a product line, so in practice it cancels the entire till receipt.
  • Maximum amount that it’s allowed to return.
  • The random generator that determines how many times the DELETE, RETURN, or CANCEL keys can be used.

In all cases, exceeding the criteria will result in further use of the till only being possible after a supervisor has authorized it.
